Smart Academic Workflow and Outcome-Based Education (OBE) System
In modern higher education institutions accredited under Outcome-Based Education (OBE) frameworks (e.g., Washington Accord, NBA, and NAAC), academic administration requires meticulous coordination across student attendance tracking, multi-variable Course Outcome (CO) and Program Outcome (PO) attainment calculation, and institutional course file preparation. Traditionally, these workflows rely on manual spreadsheet calculations and physical paper attendance registers, which are time-consuming, prone to human error, and vulnerable to proxy attendance. This paper presents the Smart Academic Workflow System, a unified digital architecture that automates academic operations. The system integrates a secure dynamic QR-based attendance platform using Flutter and Firebase with 15-second token regeneration, an automated CO-PO attainment engine using Next.js and MongoDB, and a vision-based handwritten examination booklet digitization pipeline. The OCR pipeline compares Tesseract OCR v5, LLaMA-Vision, Qwen-2-VL, and Gemini Vision, while deterministic arithmetic checks flag mark-total discrepancies. The integrated framework also enables automated compilation of institutional course files for accreditation and academic audits.
