AI-Powered Intelligent Communication Monitoring, Summarization, and Management System Using NLP

The in-mail management for many traditional email clients is a lexically based search. This is inexpensive, but doesn't consider important emails that have similar information, but different wording, and doesn't give any indication to the users of what to do next. In this paper, we introduce a decision-support intelligent communication monitoring, summarization and management workflow called NexusAI for the nexus-ai project repository. This system employs Sentence-BERT embeddings, multi-task NLP evidence extraction, the score for the priority routing system with 5 parts, the domain category classification, the dynamic multi-length summarization, and optionally a multi-channel notification dispatcher for real-time mobile notifications. Scoring vector elements are split into semantic relevance alignment, category match of the domain, sentiment intensity, urgency of the entity and the presence of a sender. The source email body is selected for each component and the user or administrator can view an email extraction, rather than the unexplainable spam label. If context is missing, it's transformed into a short actionable summary with an ordering based on the domain importance, priority level, processing latency and confidence. The results of a controlled prototype comparison suggest that using re-usable SBERT embeddings with TF-IDF Logistic Regression can achieve a very high level of summarization quality in complex LLM contexts without compromising on interactive response times below 3ms. These numbers are not from any commercial email gateway, but are prototype observations. The paper thus introduces a new framework of scores that are advisory, and an access and an inspection mechanism that can be turned on and off by the user, instead of the automatic deletion, and sets privacy, security, accessibility and Master WhatsApp toggle controls. The contribution is a practical architecture based on microservices which enables the association of semantic message filtering and transparent algorithmic communication management without introducing algorithmic output as an opaque barrier.
