Digitalisation of Registry Activities for Seamless Administration at Federal Polytechnic Ile-Oluji, Ondo State

This study aimed to design and implement a scalable, efficient, and secure digital registry management system to enhance administrative operations at the Federal Polytechnic, Ile-Oluji, Ondo State. The system was developed to modernize manual record-keeping processes, improve data accuracy, and strengthen institutional efficiency through full digital transformation aligning with Nigeria’s higher education digitalization agenda. A quantitative research design was employed, integrating system development, deployment, and data-driven evaluation. The study utilized empirical data collection and statistical analysis to measure the impact of digitalization on key performance indicators such as processing time, error rates, and user satisfaction. The research was carried out at the Federal Polytechnic, Ile-Oluji, Ondo State, with data collection and system evaluation conducted over a defined operational period within the institution's registry and administrative units. The digital registry system was developed using modern web technologies and a secure, cloud-based database architecture. Data was collected from 120 administrative staff via structured questionnaires and system logs. The data collected were analyzed using Python for machine learning and statistical analysis, employing descriptive statistics, inferential tests (Chi-square, Pearson correlation), and advanced visual analytics (PCA, t-SNE, cluster analysis) to evaluate outcomes. The system increased data retrieval speed by 87%, reduced document loss from 26% to below 2%, and cut record-processing time by 75%. It maintained a 99.7% uptime and achieved a 93% reduction in unauthorized access attempts. User satisfaction averaged 4.3/5, while overall system performance was rated at an efficiency index of 91.6%. The developed digital registry system significantly improved administrative transparency, accountability, and real-time data accessibility. It demonstrated robust performance in secure data management and efficient workflow automation. To ensure sustainability, the study recommends continuous ICT capacity-building, regular system updates, and policy support to solidify its role as a benchmark for digital governance in the Nigerian polytechnic education system.
