EvoRoads Project Deliverable 5.1: "EvoRoads_Dissemination, Communication Strategy, Plan & Kit (v.1)"

This deliverable, prepared within the EvoRoads project (Grant Agreement ID: 101147850, Horizon Europe), presents the communication and dissemination strategy, plan, and toolkit that will guide project-wide activities aimed at ensuring maximum visibility and impact. The strategy underpins EvoRoads’ contribution to the European Union’s Vision Zero initiative, combining structured outreach with strong stakeholder engagement to accelerate the adoption and exploitation of project results. The document defines the project’s visual identity, including graphic elements, templates, and usage guidelines, and specifies processes for planning, approval, and reporting of all communication and dissemination activities. Roles and responsibilities are assigned across the consortium, ensuring coordinated contributions to publications, events, the project website, and social media channels (LinkedIn, YouTube). Target audiences are clearly identified, ranging from road authorities, operators, service providers, OEMs, and hardware developers to researchers, policymakers, and end-users. For each audience group, the report outlines tailored messages and the most effective dissemination channels, including newsletters, promotional materials (flyers, posters, videos), scientific publications, project events, and participation in external conferences. To measure progress, Key Performance Indicators (KPIs) are defined and tracked throughout the project lifecycle. The strategy also highlights liaison activities with related EU-funded projects such as SOTERIA, SELFY, PoDIUM, ShippingLab Autonomy, RONDA, FRODDO, CulturalRoad, and iDriving, thereby fostering cross-project synergies and knowledge transfer. The approach is phased: in the early stages the emphasis is on raising general awareness, while later stages focus on disseminating targeted results to stakeholders and validating project outcomes. In the final phase, the communication strategy supports exploitation pathways for identified Exploitable Results (ERs). Serving as a central resource for communication planning, D5.1 lays the foundation for knowledge sharing, innovation uptake, and policy influence. It combines public engagement, scientific dissemination, and a robust digital presence to enhance the project’s visibility and ensure lasting impact. As a living document, the strategy will be updated at mid-term to reflect project progress, outcomes, and new dissemination opportunities.
