D1.1 - Collaborative Working Environment and its Maintenance

This deliverable defines the framework for the digital collaboration space that will support the efficient management of documents, schedules, and key project metrics. The collaborative environment is based on Microsoft SharePoint, serving as the central repository for storing, organizing, and sharing project-related files in a structured and secure manner. In addition to SharePoint, the working environment includes integrated links to Notion, where the project schedule, including a Gantt diagram, deliverables schedule, meeting minutes, and key performance indicators (KPIs), will be maintained. This combination of tools ensures a comprehensive project tracking and real-time accessibility to critical information. To ensure effective communication, the project established topic-oriented mailing lists. These lists are categorized by themes such as technical discussions, management coordination, and social interactions, allowing partners to engage in focused and structured exchanges. This approach will enhance collaboration while reducing email overload. The deliverable outlines the structure, governance, and maintenance strategy of this system, specifying key aspects such as user roles and permissions, document versioning policies, access management, and security measures. It also establishes best practices for maintaining and updating both SharePoint and Notion resources throughout the project lifecycle to ensure seamless coordination among partners.
