Developing a Customer Relationship Management System for Personal Trainers: a Tailored Solution for PT Hemma
This project report describes the implementation and design of a Customer Relationship Management (CRM) system for PT Hemma, a company that offers at-home personal training services. Since the company had to handle fresh contact information, it had previously relied on emails, which made it difficult to keep track of leads and ensure follow-ups. The existing CRM systems were also either too complex or too expensive for their needs. Therefore, an intuitive, lightweight, and low-cost system was developed. The system is implemented using Cloudflare workers, D1 database, and the Next.js framework to make sure it is easy to use, scalable, as well as compatible with PT Hemma's already existing medical record system. Some of the key features include the leads page for displaying clients and client information; the pipeline page for displaying deadlines for tasks; and other components to handle customer data and write notes. The system includes role-based access controls to help secure sensitive information and supports compliance with data protection regulations. The system could be further improved by adding a map API, or adding a calendar API. Usability testing proved that the system was intuitive and easy to use. While the CRM satisfies most GDPR principles, additional features such as internal consent records and processing logs are needed for full compliance. The results show how a custom-made CRM can address the limitations of off-the-shelf tools for small businesses, providing simplicity, cost savings, and GDPR compliance.
