Challenges and Strategies in Upgrading ERP Software in HR Department A Case Study of POB Eye Hospitals

The case examines the important challenges faced by the Human Resources (HR) Department of POB Eye Hospitals due to dependence on an old and malfunction software system, ERP-Next version 12. This system failed to support important HR functions such as attendance tracking, overtime processing, loan management, leave administration, payroll automation and departmental integration. As a result, the manual work was adopted, causing delay and operational inefficiency, which adversely affect the hospital workflow, employee morale and the patient's quality care. The disintegration caused by these deficiencies exposed the requirement for a reliable and integrated technical solution. After identifying these problems, the hospital chose ERPNext Version 13 as their solution and under strategic direction of its leadership team conducted departmental needs assessment with IT experts for vendor evaluation and implementation schedule planning. The new system includes biometric technology that would automatically record employees attendance and make it easier to manage loan, advance against salary and overtime, as well as generate real-time reports. By conducting extensive data verification procedures and user training initiatives, the healthcare facility successfully implemented the migration process for user adoption. Comprehensive data verification procedures and staff training initiative enabled healthcare facility to successfully implement migration process for adoption of employees. The implementation resulted in automation of core HR procedures, elimination of manual errors, and an integrated platform, which combines HR, finance, procurement, supply chain and others administrative functions. The success of this digital transformation was attributed to a combination of organizational commitment, technological suitability, and human factors such as change management and staff engagement. Continual improvement culture was fostered by leadership; staff were trained early on so that they can help minimize resistance and enhance acceptance. This new ERP system restored efficiency of operations but also enhanced transparency, employee satisfaction, and decision-making agility for the HR department to generate its own reports without depending upon an external developer to make changes, which helps them support strategic workforce management.

This system failed to support important HR functions such as attendance tracking, overtime processing, loan management, leave administration, payroll automation and departmental integration.
