ProjecTailor: A Document Management System for Internechsystems Inc.
Internech Systems Pte Ltd, categorized as a smallmedium enterprise (SME) at the time of writing, relies on a manual and time-consuming document management method that involves multiple departments in the creation, exchange, and approval of documents, leading to challenges that impact overall efficiency and turnaround times. Thus, the researchers developed ProjecTailor, a document management system web application with the specific goals of supporting a paperless approach, monitoring project document phases, displaying activity logs and status of documents, and enhancing usability on web-based devices. The researchers utilized the Iterative Life Cycle Model, allowing modifications to any point of the project life cycle. The evaluation process involved employing the ISO 9126 standard and User Acceptance Test for system performance evaluation and user acceptance, which reveals a highly acceptable system, with Main Admins granting the highest rating (4.60), Department Heads finding it acceptable (4.08), and Department Staff also rating it within the acceptable range (4.00), yielding an overall grand mean of 4.23 and indicating the system's effectiveness across diverse user types. Furthermore, conducting a follow-up study to assess the DMS' effectiveness in enhancing company efficiency and cost-effectiveness, addressing identified project limitations, and exploring solutions to broaden compatibility is recommended. Additionally, considering the client company's rebranding from Internech Systems Pte Ltd to Internechsystems Inc., it is advisable to reassess its needs post-SME categorization. Improvements that can be made to the system involve implementing real-time notification, progress bar, and report generation features for enhanced functionality.
